Terms & Conditions

The terms that apply when you use RoastEval or submit coffee for evaluation.

1. About these terms

These Terms & Conditions govern your access to the RoastEval website and services. By using the website, creating an account, or purchasing an evaluation, you agree to them. If you are acting for a roastery or other organization, you confirm that you have authority to accept these terms for that organization.

2. The service

RoastEval provides independent assessments of coffee roasting using its published methodology. An evaluation is a professional opinion about the submitted sample at the time it is assessed. It is not a guarantee of commercial success, customer preference, regulatory compliance, food safety, or a particular rank or score.

Public evaluations may be displayed on RoastEval's website and may contribute to roastery profile statistics and the leaderboard. Private evaluations are available only to the submitting roastery and authorized RoastEval administrators.

3. Accounts and submissions

Please provide accurate, current information and keep your login credentials secure. You are responsible for activity performed through your account. You must submit only coffee you are entitled to submit and must accurately identify the coffee, roast date, origin, processing, and other requested details.

RoastEval may decline, pause, or remove a submission where information is materially inaccurate, a sample is unsafe or unsuitable to handle, or use of the service breaches these terms or applicable law.

4. Payment, taxes, and pricing

Prices, applicable taxes, and the total payable are displayed before you complete payment through Stripe. Payment is required before a submission is created and scheduled for evaluation. You are responsible for providing accurate billing information and for any charges imposed by your payment provider.

RoastEval does not collect, receive, or store your credit-card number, security code, or other payment-card details. Those details are entered directly into Stripe's secure payment form and are handled by Stripe under its own terms and privacy practices.

5. Shipping and sample requirements

For each paid submission, send 60 g of freshly roasted coffee in a clearly labelled bag. Each label should include your roastery name, coffee name, roast date, and submission number. You are responsible for packaging, insurance, courier selection, tracking, shipping costs, and any risk of loss or delay in transit.

Please send samples promptly. If a sample arrives after the end of the three-week period following its roast date, it will not be eligible for a public score. Where the sample can still be evaluated properly, RoastEval may offer a private evaluation with a note explaining the late roast date. This depends on sample condition and operational capacity.

6. Refunds

We understand that a score can be disappointing. A refund is not available simply because you disagree with, or are unhappy with, an evaluation or score. RoastEval will consider refunds fairly in exceptional circumstances where we cannot properly evaluate a sample—for example, because of severe green-coffee flavour defects or an unreasonable shipping delay that prevents a meaningful assessment.

To request a review, contact us with your transaction and submission number. Nothing in this policy limits any refund, cancellation, or other right you may have under applicable consumer-protection law.

7. Intellectual property and public content

The RoastEval name, website, methodology presentation, designs, and content belong to RoastEval or its licensors. You may not copy, scrape, reproduce, or use them commercially without permission. You retain ownership of information you submit, but grant RoastEval the limited right to use it to provide the service and, for public submissions, to publish the evaluation report and related coffee and roastery information.

8. Acceptable use

Do not interfere with the website, attempt unauthorized access, submit malicious content, misrepresent a coffee or your identity, or use RoastEval in a way that infringes another person's rights. We may suspend access where reasonably necessary to protect the service, users, or our rights.

9. Liability

To the fullest extent permitted by law, RoastEval is not liable for indirect, incidental, special, consequential, or lost-profit damages arising from the service. RoastEval's total liability for a particular submission will not exceed the amount you paid for that submission. These limits do not exclude liability that cannot legally be excluded.

10. Changes, law, and contact

We may update these terms as the service changes. The current version will be posted here with its updated date; continued use after an update means you accept the updated terms. These terms are governed by the laws of Ontario and the applicable federal laws of Canada. Questions can be sent to hello@roasteval.com.
